What a Year of Google Timeline Imports Taught Us About Protecting Business Mileage Records

After a year helping drivers import Timeline data stored on their phones, MileageWise CEO Akos Barazsy explains what users should check before a tax deadline—or a lost device—makes the question urgent.

For years, Google Maps Timeline worked like a personal travel archive. The opt-in feature, powered by the setting historically known as Location History, is off by default. People who enable it can open Maps and look back at places they have visited, routes they have taken and whether Google believed they travelled by car, on foot, by bicycle or on public transit.

Many business drivers also discovered a second use for it. When a mileage log was incomplete—or had never been created—Timeline could help reconstruct where they had driven and when.

But Google Timeline was never designed as a business mileage log, and a major change to the way its data is stored has made that distinction more important.

Google began moving Timeline⁠ from primarily cloud-based storage associated with a Google account to storage on each user’s mobile device. The company presented the change as a way to give people greater control over sensitive location data. Under the new model, an encrypted cloud backup remains available, but users must enable backup separately on each device.

That is a meaningful privacy change. It is also a meaningful record-management change.

At MileageWise⁠, we have been building tools for current and retroactive mileage logging since 2001. Our mobile and web products help self-employed professionals, small businesses and other drivers record new trips, reconstruct past travel, separate business mileage from personal travel and produce organized mileage reports. Google Timeline imports have become an important part of that work because Timeline may contain travel history that exists nowhere else.

When Google’s storage model changed, we adapted our import workflow⁠ to process supported Timeline files exported from Android and iOS devices. After a year of helping users work with those files, we have repeatedly seen the same points of confusion.

Seeing your Timeline does not mean it is safely preserved

The most common misunderstanding is simple: a driver opens Google Maps, sees past trips and assumes the data is safely stored in their Google account.

Today, that history may be stored only on the phone in their hand. Google says⁠ Timeline backup is a separate opt-in on each device. When backup is enabled, Maps saves an encrypted copy on Google’s servers that can be imported to another device. Without that backup, replacing, losing or resetting a phone can place the history at risk. Google’s support guidance also notes that a factory reset—or clearing Google Play services data on Android—deletes Timeline data from that device.

Drivers should know which device contains their Timeline history, whether backup is enabled for that device and which Google account is being used. They should also review the auto-delete setting. Google currently allows users to delete Timeline data automatically after three, 18 or 36 months, while users who want longer retention can turn auto-delete off.

During the transition, we also encountered users whose Timeline, backup or auto-delete settings were not in the state they expected after a migration or software update. Whatever the cause in an individual case, the lesson is the same: location history should not be treated as preserved simply because it is visible today.

Most drivers check only when the need becomes urgent

The second pattern is timing. Many people investigate their mileage history only when an accountant asks for a log, an employer requests documentation or a tax deadline is close.

That is often when they discover that Timeline was disabled, auto-delete removed the period they need, backup was never enabled or the relevant history remained on an old phone.

A brief periodic check is far easier than a last-minute recovery effort. Business drivers should review their Timeline and backup settings during the year and again before replacing, selling or resetting a device. If the history may be needed for business records, exporting a copy before a device change is also a sensible precaution. Google provides device-based export options on both Android and iOS.

The important point is to do this while the information is still available. No mileage software can import Timeline history that no longer exists.

Timeline is evidence of travel, not evidence of business purpose

Google Timeline is valuable because it can show where and when travel appears to have occurred. But it records movement, not accounting intent.

A Timeline export may contain personal drives, walking, flights, public transportation and parking locations. A recorded stop may not be the driver’s actual destination. Google may infer the wrong mode of transportation, and the data generally cannot explain whether a drive was for a client meeting, a delivery, a site visit or a personal errand.

That missing context matters. In the United States, mileage documentation generally needs to establish more than the fact that a vehicle moved. The IRS expects⁠ adequate records supporting details such as mileage, destination and business purpose. Reimbursement policies may impose their own requirements.

This is where a raw location history has to become a mileage log. In MileageWise, supported Timeline data can be imported so the system can identify car journeys, organize trips, calculate distances between destinations and guide the driver through categorization and final review. Users can also track new trips through the mobile app and manage records in the web dashboard.

The software reduces the reconstruction work, but the driver still supplies the business meaning. Technology can identify a likely trip. It cannot reliably decide why that trip occurred.

On-device storage changes the responsibility, not the value

Google Timeline remains a useful source of historical travel information. In some cases, it is the best starting point a business driver has for rebuilding missing records. With on-device storage, preserving that value requires more deliberate action from the user.

Every business driver who relies on Timeline should be able to answer four questions: Which device holds my history? Is that device backed up? How long will my auto-delete setting retain the data? And how will I turn raw travel history into a reviewed record that distinguishes business from personal mileage?

If those questions are answered before the next phone upgrade or tax deadline, Google Timeline can remain a useful part of the recordkeeping process. If they are ignored, drivers may learn too late that a visible travel history and a durable business record are not the same thing.
